How to Change your Calendar View in a Second


If you want to customize your calendar or you need to change the number of days visible in your Outlook calendar, simply complete the step below.

1. Press ALT and any number between 1 and 10.

The number that you press determines the number of days displayed, starting from the current date. For example, to see a full week or 7-day range, just press ALT and 7. This is particularly helpful if you need to plan or check appointments and tasks over a certain time period.

Remember: when using this tip, you must use the number keys on the keyboard, not on the numeric keypad.

Customise Your Outlook Toolbar

Did you know that Outlook's Toolbar can be customised. To do this simply:

  • Select View/Toolbars From Outlook's main menu
  • Choose the desired toolbar: Standard, Advanced, Remote, or Web
  • You can then add components to your toolbar, adjust the size of icons, show or hide screen tips and add or remove animation in your drop-down menus

  • Print Multiple Emails On The One Page

    If you want to save some paper (and be environmentally friendly) you can print your messages grouped together, not just one message at a time. To do this simply:

  • Highlight the messages you want printed
  • Click the print button


  • This will submit all the selected messages as one print job. If a message doesn't require an entire sheet of paper, the print job will print the next message immediately following the first. This feature is very useful when you must bring a lot of hard-copy documentation to a meeting for distribution.

    Assign Tasks To Others

    Have you ever required a colleague to complete a task for you and either phoned or sent them an email message? A better method is to assign your colleague a task from within Outlook. To assign a task simply:

  • Open Outlook and click the dropdown arrow next to New (underneath the File menu)
  • Then select the "Task Request" option
  • This will display a screen similar to the New Task screen, but with a "To" field
  • Write a description of the task and select the recipient - just as if you were sending an email


  • When the task is sent, the assigned user receives a new message containing information about the task, the due date and the assignee. The recipient can either Accept or Decline the task. If the user accepts the task, Outlook automatically enters it into the recipient’s Task folder. When any changes are made – like the task is marked as complete or partially complete, the assignee is automatically notified.

    How To Let People Know You Are Out Of The Office

    Outlook has a clever feature that auto-replies to all emails when you are away on leave or out of the office. To do this simply:

  • Select the Tools menu and click Out Of Office Assistant
  • Click I am currently Out Of The Office
  • In the “Auto Reply only once to each sender with the following text” box, type the message you want to send to others while you are out
  • Outlook will then send this message to all who send you an email
